General Information

This policy applies to the collection, management and use of your data by Stoopen & Meeus. It applies to all our clients (current, former and future) as well as to all visitors to our website. In this policy, you will find, amongst other things, how we process your information, how and what information we collect (or may collect) and for what purposes we use it (or may use it). This document also contains information on how you can access your data and how you can amend or have it deleted.

What data do we collect?

By ‘personal data’, we mean data relating to you as an identifiable natural person. The personal data collected by Stoopen & Meeus primarily consists of the data you enter yourself on the various pages of our website and the data we obtain through your use of our website and/or our products and/or services. This also includes personal data that you provide to us through other channels, such as by telephone, via response forms, contractual documents and other means. Finally, we also collect data via external channels, such as address databases, so that we can actively reach new target groups. We then contact these individuals, who are given the opportunity to check, correct or amend their data, or to object to its use.

Why and how do we collect this data?

Firstly, we use your personal data to fulfil and process your enquiries and contracts with Stoopen & Meeus. In addition, we may use your personal data to inform you about our (new) products, services and special offers which we believe may be of interest to you. We keep your data accurate and up to date, and for no longer than is necessary for the stated purpose, taking into account our need to answer queries and resolve issues, to improve our services and offer new ones, and to comply with legal requirements. This means that we may retain your personal data for a reasonable period following your last interaction with Stoopen & Meeus. Once the personal data we collect is no longer required, we will securely destroy or delete it. If you receive emails because you have subscribed to them, as is the case with digital newsletters, you will continue to receive them until you unsubscribe.

When processing personal data, we maintain at all times a level of security which, taking into account the state of the art, is sufficient to prevent any unauthorised access, alteration, disclosure or loss of personal data. These include both technical and organisational measures (such as data encryption, access control to our premises and limiting the number of staff with access to the data, etc.).

What are your rights?

You also have a number of rights regarding this data. You are entitled, free of charge, to access, rectify and have your data erased. You may also object to the combination of your personal data for the purpose of profiling. Finally, you may also ask us to provide you with a digital copy of the data we hold about you. To exercise these rights, you must send a clear written request (letter or email) to Stoopen & Meeus using the general contact details, clearly stating what you wish to know, correct, delete or receive. If you do not wish to receive newsletters or information about our products and services, you may unsubscribe at any time, without giving a reason and free of charge. Management of your data

Your personal data is collected and managed by Stoopen & Meeus, Van Praetstraat 22, B-2660 Hoboken. Within Stoopen & Meeus, this data is only accessible to authorised personnel who require access to it in the course of their duties. Your data may also be collected and processed by our data processors. These are companies which, on our behalf, manage and/or host our databases and our website. They have access only to the personal data strictly necessary for the performance of their duties. You may obtain a list of these data processors on request.

Transfer to third parties

Under no circumstances do we sell or rent your data to external organisations, companies or individuals. We treat your data as confidential information. However, as part of certain initiatives, we offer you the option, upon registration, to stay informed about activities carried out by one or more external partners involved in that initiative. In such cases, you must give your explicit consent.

For certain initiatives, we also engage an external data processor. This processor then manages a database linked to that of Stoopen & Meeus. The external data processor undertakes to process the data confidentially and securely, in full compliance with this policy. We always set out these provisions in a contract with these data processors. Consequently, the data processor will never be authorised to use your data on its own initiative, and your data must be deleted as soon as the data processor has completed its assignment.
